Event inquiry response templates that win the booking

The first reply decides more than any brochure. Here are six inquiry responses written for venues: copy them, swap the placeholders, send. Each one answers the date, names a real price, and ends with one next step.

These work as a wedding inquiry response, an event inquiry email template, or a private-party reply; the anatomy is the same and only the register changes. The {{placeholders}} are yours to fill, and nothing in them invents what you haven't decided.

The complete first reply

Use when the date is open. This is the reply that wins shortlists.

Subject: {{Venue name}}: {{date}} is available for your event

Hi {{first name}}, Thanks so much for reaching out. Good news: {{date}} is available. For {{guest count}} guests, our {{space name}} is the right fit. It seats up to {{capacity}} and works beautifully for {{event type}}. Our {{package name}} package is {{price}} and includes {{top inclusions}}. I've attached the full details. One quick question so I can tailor this: {{one question, e.g. are you picturing a seated dinner or more of a cocktail-style evening?}} Would you like to come see the space this week? I have {{two tour slots}} open. Happy to hold {{date}} while you decide. {{Sign-off}}

The date is taken

Use when their date is booked. A fast no with alternatives still wins referrals and second dates.

Subject: {{date}} is booked, but here's what we can do

Hi {{first name}}, Thank you for thinking of {{venue name}}. I have to be straight with you: {{date}} is already booked. If your date has any flexibility, I do have {{alternative date 1}} and {{alternative date 2}} open, and both come with {{small incentive, e.g. our off-peak pricing}}. If {{date}} is fixed, I completely understand. I'm happy to add you to our waitlist in case anything changes, and either way I hope the celebration is wonderful. {{Sign-off}}

The missing-details reply

Use when they didn't give a date or headcount. Answer what you can, ask for the minimum, keep momentum.

Subject: Happy to help with your event at {{venue name}}

Hi {{first name}}, Thanks for reaching out. I'd love to help. To check availability and give you an exact quote, I just need two things: the date you're considering and a rough guest count. Meanwhile, here's the shape of it: our spaces hold {{range}}, and most {{event type}} events land between {{price range}} depending on the package. The full pricing sheet is attached so you can see everything now. As soon as I have your date, I'll confirm availability the same day. {{Sign-off}}

The wedding inquiry response

Use for couples. Same facts, warmer register, and the tour is the whole goal.

Subject: {{date}} at {{venue name}}: it's available

Hi {{names}}, Congratulations on your engagement! Thank you for thinking of {{venue name}}. {{date}} is available, and for {{guest count}} guests our {{space name}} would be lovely. Couples usually use {{brief picture: ceremony spot, dinner layout, dance floor}}. Our {{package name}} starts at {{price}} and includes {{top inclusions}}. The full details are attached, no surprises. Honestly, photos only get this place halfway. Would you like to come walk it? I have {{two tour slots}} this week, and I'm happy to hold {{date}} while you decide. {{Sign-off}}

The corporate inquiry reply

Use for offsites, holiday parties, and company events. Logistics first; certainty is the product.

Subject: {{venue name}} for {{company}}'s {{event type}}: availability and details

Hi {{first name}}, Thanks for reaching out. {{date}} is available, and here is everything you likely need to decide: Capacity: {{space name}} holds {{seated}} seated or {{standing}} standing. AV: {{mic, speakers, screen, wifi details}}. Parking: {{parking details}}. Catering: {{in-house / preferred list / outside allowed}}. Pricing: {{package}} at {{price}}, which includes {{inclusions}}. If it helps, I can hold {{date}} for {{hold period}} while you confirm internally. And if you'd like a quick walkthrough, I can do {{two specific slots}}. {{Sign-off}}

The quiet-lead follow-up

Use three or four days after your reply if they've gone silent. One nudge, real information, easy out.

Subject: Still thinking about {{date}}?

Hi {{first name}}, Just circling back on your {{event type}} inquiry. {{date}} is still available, and I'd hate for you to lose it while comparing options. If you're still deciding, I'm happy to answer anything that would help: menus, layouts, timing, all of it. And if plans changed, no problem at all. Just let me know and I'll close the file. {{Sign-off}}

The anatomy every template shares

  1. It arrives the same day. The reply is a race you can't win tomorrow.
  2. It answers the date first. Available or not is the whole reason they wrote.
  3. It names a real number. A price with inclusions builds trust; "it depends" builds a second email.
  4. It asks exactly one question. One question keeps the thread alive. Five questions kill it.
  5. It ends with one next step. Usually the tour, with specific slots, not "let me know."

Or let Haibria draft these for you.

Templates still need you to check the calendar, pick the right space, and fill every placeholder, for every inquiry, forever. Haibria does that part: when an inquiry lands, the reply arrives already drafted from your real pricing, policies, and calendar, in your voice. You review and send. See how Haibria works.

Common questions

How fast should a venue respond to an event inquiry?

Same day, ideally within hours. People inquire at several venues in one sitting, and the first substantive reply frames the comparison for every reply that comes after. Speed with real information beats speed alone: an instant reply that answers nothing just moves the wait one email later.

Should the first reply include pricing?

Give a real number or a real range. Hiding pricing produces a second email asking for pricing, and some people never send that second email. A package price with what's included filters out mismatched budgets before they cost you a tour slot.

What makes an inquiry reply convert?

Five things, in order: it arrives fast, it answers the date question directly, it names a real price, it asks exactly one question back, and it ends with one clear next step, usually the tour. Every template on this page follows that anatomy.

How many follow-ups before giving up on a lead?

One or two. The first nudge a few days after your reply recovers people who got busy. A second a week later with an easy out ends it gracefully. Past that you're training people to ignore you.
